MY ACCOUNT:
Through the dashboard user can navigate to multiple screens through the left navigation pane. Through My Accounts page user will be able to see the details about Users basic information, password management, My Vendors, Settings is shown in other tab.
About:
We have all basic user information present as shown below.
My Requirement:
Requirements which have been posted by the user with respect to their department.
Note: Buyers can create the requirement.
RFQ Number- Unique ID generated for the posted requirement.
REQ Type- Type of requirement posted.
Title- Requirement title which has been provided while posting the requirement.
Posted By- Requirement creator name.
Quotation Status- This shows how many vendors have responded to the RFQ/Total Vendors added to the RFQ.
Posted On- Requirement created date and time in the system.
Freeze Time- Freeze time of the requirement is the deadline to receive quotes from Vendor. After this freeze time, quotations will not be accepted by the system.
Negotiation Time- This is expected negotiation time configured in the RFQ and when the actual negotiation time is scheduled the same would be updated with actuals.
Status- System updates the status of the RFQ’s based on the progress of the RFQ.
Indent Number- Indent number from which the RFQ created.
Clone- Can re-post the requirement with same details already filled, can edit any data if required.
Filter:
All Status- The below shown picture elaborates different status referred in the system.
Status | Status Description |
Saved as Draft | When the user saves the RFQ to post the requirement later. RFQ would be marked in “saved as draft” status. |
Quotations Pending | When a user successfully posted the RFQ and the system is waiting for vendor quotations to be received then the status is marked as “pending vendor quotations”. |
Quotations Received | When the user received all the quotations for the RFQ, the status is marked as “In review with ABC”. |
Negotiations started | When negotiation starts for the RFQ, the status is marked as “Negotiation started". |
Negotiation In Progress | When negotiation is currently running for the RFQ, status is marked as “Negotiation in progress". |
Negotiation Cancelled | When negotiation is cancelled for the RFQ, the status is marked as “Negotiation cancelled”. |
QCS Pending | When the negotiation process is completed for the RFQ, the status is marked as “QCS Pending”. |
QCS Created | When the negotiation process is completed for the RFQ and the user initiates the QCS process, the status is marked as “QCS created”. |
QCS Approval Pending | When the negotiation process is completed for the RFQ and the user initiates the QCS approval process, the status is marked as “QCS Approval pending" |
QCS Approved | When the negotiation process is completed for the RFQ and all the QCS approvals are performed, the status is marked as “QCSAPPROVED”. |
Search: This is used for checking the requirements.
Reports: In the reports we have the following reports
Consolidated report of all the requirements details like posted date, negotiation date, vendor details, savings and etc.
Under the status reports creator of RFQ’s, total RFQ’s, approved PI’s was present.
Settings:
From the settings tab, user can update few key default RFQ controllers like the minimum reduction value by which the vendor can reduce the bid value and Vendor Rank Comparison value is used to not allow vendors quote the same value.
Negotiation Durations is the default Auction time in the form of days, hours and minutes can be configured. User is recommended to configure the time as per their regular auction requirement. The same can be overridden during the Scheduling of the auction.
These controllers are given to standardize the setup and eliminate the manual touch points in case if user wanted to proceed with default setup.
Negotiation Settings:
User can set bidding properties.
Min Reduction Amount - This is the Amount input given by user where Vendor can't reduce less than this amount during the bidding.
Vendor Rank Comparisons - This is the minimum price difference in between Ranked vendors when bidding is running.
Negotiation Duration - This is the Total Time for Bidding.
Last Price Filter - This defines the date ranges which system should refer to display the last purchase price history of the product in Step 1 of RFQ process.
Best Price Filter - This defines the data ranges which system should refer to while displaying the best purchase price history of the product in Step 1 of RFQ process.
Sub-Users:
Sub users are added by the super user by filling all the required fields below on clicking new user at the top right. Sub user can be added only after adding the division and designation.
User ID and Password will be set by the admin itself.
After adding the user the data will be shown as below.
User name: name of the user.
Email: Mail Id of the user.
Phone: Mobile No.
De-activation: When the use is not a part of the organisation the user is deactivated from the PRM360.
Access: Access levels are given to the user’s base on the department they belongs to.
Here are the access levels below.
My Vendors:
Vendors can only pushed through the ERP to PRM application.
All the vendors created or uploaded in the application are visible under my vendors.
Password Management:
User can leverage Password Management page to update the credentials as when user intends to.
Division:
Division can be added from the below add new division and the added divisions can be visible as shown.
Note: Only super admin can add department.
Designation:
Designation should be added to add department and user to the PRM360. It can be added and can be shown as below.
Note: Only super admin can add designation.
Currency:
The currency can be add from the add new currency and the added currency will be displayed as below
